2. Communication Protocols:
- Preferred channels:
- Primary: Jira - Our project management tool for all project-related communication, feedback, task management, and file sharing.
- Secondary: Email (support@byteteck.com) - For general inquiries, scheduling, and non-urgent matters
- Tertiary: WhatsApp Group or Slack Channels - For quick updates, informal communication, and sharing relevant links or information.
- Urgent Matters: Phone Call - For urgent issues requiring immediate attention, such as website errors, social media crises, or problems with paid advertising campaigns.
- Response times:
- Jira, Email, Slack & WhatsApp: Within one business day during standard business hours (Monday-Friday, 8:00 AM - 4:00 PM EST.
- Urgent Matters (Phone): As soon as possible, within the same business day.
- Meeting schedules:
- Included: One scheduled meeting bi-weekly is included in the project scope. This meeting will be used to discuss progress, review work, and address any questions or concerns.
- Additional Meetings: Extra meetings will be billed at $100/hour.
- Urgent Meetings: Urgent meetings, such as those related to website issues, social media crises, or problems with paid advertising, can be scheduled more than once a week as needed, without incurring the extra meeting fee.
3. Project Management:

- Client Information Form: A link to a Google Form is included in the welcome email. This form collects essential information about the client's business, goals, target audience, and project-specific needs.
- Jira Account Setup: A dedicated account is created for the client in our Jira project management tool. This provides access to project plans, tasks, files, communication threads, and progress updates.
- WhatsApp Group Creation: A dedicated WhatsApp group is created for the client's project. This facilitates quick communication, informal updates, and easy sharing of relevant links or information with dedicated client success manager.

- Monthly Reports: Digital ByteTeck provides comprehensive monthly reports for all services that the client is actively engaged in. These reports offer a clear and concise overview of campaign performance, key metrics, and progress towards achieving the client's goals.
- Report Delivery: Reports are typically delivered via email or through the Jira project management tool, depending on the client's preference.
4. Creative Development and Revisions:
- Revision process:
- General Turnaround Time: For most revision requests, the standard turnaround time is 48 hours (2 business days). This allows us to carefully consider your feedback and implement the necessary changes efficiently.
- Specific Design Turnaround Times:

- Minor Edits (up-to 2 business days):
- Color Correction: Adjusting brightness, contrast, saturation, white balance. This is usually a quick fix unless the client has very specific requirements or the image is technically challenging.

- Minor Retouching: Removing small blemishes, dust spots, or making subtle enhancements to an image.
- Text Changes: Simple edits to existing text overlays, like correcting typos or changing font sizes.
- Substantial Changes (2-5 business days):
- Significant Design Overhaul: This could involve changing the entire layout, adding new elements, or significantly altering the existing design. This requires more time for creative conceptualization and execution.
- Complex Compositing: Combining multiple images into a single cohesive image, which may involve intricate masking and blending techniques.
- Extensive Retouching: Significant alterations to the image, such as removing large objects, adding new elements, or significantly altering a person's appearance.

- Automated Monthly Payments: Digital ByteTeck utilizes a convenient auto-payment system for recurring monthly payments. Clients provide their preferred payment method through our secure online portal, and payments are processed automatically each month. This eliminates the hassle of manual payments and ensures timely payment for services rendered.
- Invoicing Procedures:
- Prompt Invoice Delivery: An invoice is generated and sent to the client's email address as soon as the payment is successfully processed through our online portal. This provides immediate confirmation of payment and a detailed breakdown of charges.
- Invoice Contents: Invoices include a clear description of the services provided, the billing period, the total amount due, and any applicable taxes or fees.
- Invoice Access: Clients can also access and download their invoices at any time through their email inbox or can send email to account@byteteck.com.
